What happens to the details you send us.

This site collects personal data in two ways: the contact form, and the technical logs our host keeps of every visit. Here is what we keep, why, where it goes and what you can ask of us.

§ 1Who we are

Coherence Engine Ltd is the controller of the personal data described here. To ask anything about it, or to use any of your rights, write to info@coherenceengine.tech.

Coherence Engine Ltd is registered in England and Wales, company number 16613025. Registered office: c/o HCR Law, 50/60 Station Road, Cambridge, CB1 2JH.

§ 2What we collect

When you send the contact form we receive what you type into it:

  • your first name and last name;
  • your email address;
  • your message;
  • whether you ticked “Sign up for news and updates”.

Netlify, which hosts the site and receives the form, also records technical details with each submission, such as the time it was sent and your IP address.

When you visit any page, Netlify’s servers log your IP address, browser details and the page you asked for, as every web host does. We do not use these logs to identify you. The site asks for nothing else, and you do not need an account.

You do not have to give us your details, but we cannot reply without a name, an email address and a message.

§ 3Why, and on what basis

To reply to you. We use your details to answer your enquiry and to talk with you about working together. The lawful basis is our legitimate interest in answering people who contact us, or, where you are asking about becoming a design partner, the steps you ask us to take before a contract.

To send news, only if you ticked the box. The lawful basis is your consent. You can withdraw it at any time: write to info@coherenceengine.tech, or reply to any news email asking us to stop. Withdrawing does not affect anything sent before.

To run the site. Netlify keeps its visit logs to deliver the pages and to protect the site from abuse. The lawful basis is our legitimate interest in a working, secure site.

We do not sell your details, and we do not use them for advertising or for automated decisions about you.

§ 4Where it goes

Netlify Forms stores each submission. Netlify, Inc. is based in the United States, so your details are transferred outside the UK. That transfer is covered by Netlify’s data processing terms, with the UK’s International Data Transfer Addendum. See Netlify’s privacy notice.

Akismet, run by Automattic Inc. in the United States, checks each form submission for spam on Netlify’s behalf, using what you typed into the form and your IP address. See Netlify’s note on spam filtering and Automattic’s privacy notice.

Google Workspace receives the email that tells us a message has arrived, at info@coherenceengine.tech, and holds our replies to you. Google LLC is in the United States too; that transfer is covered by Google’s data processing terms and its certification under the UK Extension to the EU–US Data Privacy Framework.

Inside Coherence Engine, only the team handles your message.

§ 5How long we keep it

We keep an enquiry and our correspondence about it for up to 24 months after we were last in touch, then delete it. We delete it sooner if you ask. If you signed up for news, we keep your name and email for that until you withdraw your consent.

§ 6Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct it;
  • delete it;
  • limit how we use it;
  • stop using it, if you object to how we use it;
  • give it to you, or to another organisation, in a machine-readable form, where the law allows.

Your right to object. Where we rely on our legitimate interest, to reply to you or to run the site, you can object at any time, and we will stop unless we have a compelling reason to continue.

You can also withdraw your consent to news at any time. Write to info@coherenceengine.tech; we reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office, at ico.org.uk or on 0303 123 1113. We would like the chance to put it right first.

§ 7Cookies, storage and other sites

No cookies, analytics or tracking. The site sets no cookies and loads no analytics or advertising code.

Two settings, kept in your browser. If you use the site’s display switches (italic, and light or dark mode), it remembers your choice in your browser’s local storage, under the names ce-italic and ce-theme. They never leave your browser, and clearing your browser’s site data removes them.

No other sites. Everything the pages need, including the fonts and the films, comes from this site itself. The only links to other sites are the ones you choose to follow, such as Netlify’s and the ICO’s pages above.
